Your neighbor announces who’s coming over WhatsApp. Portalis sends the visitor a pass with a code. The gate scans it, and the neighbor gets notified they’ve arrived.

Why it matters who let them in

The guard house tablet never logs out, and shifts change. Every guard signs in with their own PIN, so the log says who let whom in — not “the guard house”.

And the guard only ever sees a name and a unit. Never a balance, never a phone number.

What your neighbor sees is the real availability. There is no other version of it.

Your bylaws set the rules, not whoever got there first

  • Two neighbors cannot book the same Saturday

    Every booking is confirmed against the real calendar. If someone got in seconds earlier, the second one gets a no — and the hours that are still free.

  • Owing money means no booking

    If your bylaws say a delinquent owner cannot book, the system enforces it on its own. Nobody has to check a debt list or say no to their face.

  • The charge lands on their account

    A deposit, a usage fee or a penalty for canceling late: it enters as one more charge, with its date and its description, on the same account where their fee lives.

The law requires you to make the accounts available to the owners. Portalis keeps them ready: every charge with its date, every payment with its receipt, and a balance that always adds up.

  • A paid charge is never edited. If there was a mistake, an adjustment is issued and stays on the record.
  • The order in which a payment covers outstanding balances is set by your bylaws, not by us.
  • Special assessments are prorated by ownership share, and the parts add up to the exact total.

Getting started

You start with the list you already have in Excel

No implementation project, no three-session training, no consultant visiting your office. Three steps, and you do the first one yourself.

  1. Register the condominium

    Name, address, and how the ownership shares are split. If you manage several, each one lives on its own and they never mix.

  2. Upload your roster

    Your Excel file exactly as it is. You tell it which column is which — the importer never guesses — and you see the result before confirming it.

  3. Link the neighbors

    Each unit gets a code that you issue. Nobody signs themselves up: a mistyped phone number can never end up holding another home’s data.

A roster is never clean. That is why the importer lets you review and fix everything before it writes a single row.

The fine print, in large type

  • There’s a $650.00 monthly minimum. Under 50 units the software costs the same to run, so the price doesn’t go any lower. For a twelve-house condominium, that’s $54.17 per house.
  • Prices don’t include VAT. We say so here, not in a footnote asterisk.
  • You’re billed per active unit. Remove a house mid-subscription and next month adjusts itself.
  • A full thirty days, no card required. If you don’t sign up at the end, your data stays there for you to review.
  • We invoice you with a CFDI 4.0. Enter your RFC when you sign up and the invoice arrives on its own every month.

Where does the fee money actually go?

Into the condominium’s account, not ours

Every condominium has its own connected account. When a neighbor pays, the money lands there directly and Portalis only deducts its own fee. We’re not a middleman holding funds — we couldn’t, even if we wanted to.

Card details travel from your neighbor’s phone straight to Stripe and never pass through our servers.

Your invoice, with CFDI 4.0

Enter your RFC, legal name, tax regime and postal code once, and every monthly charge arrives already stamped. No separate module, no extra cost, no asking by email.

On your neighbors’ fees: per Prodecon’s own guidance you are not required to invoice them, so Portalis issues receipts, not a CFDI.

If you leave, you take everything with you

Export the owner roster, the charges and the payments whenever you want. Canceling doesn’t erase your history — you can keep looking it up.

What people ask before signing

Do my neighbors have to install an app?

No, and that is not a detail: it is the product’s core decision. An app means convincing 78 people to download it, then to update it, then not to delete it when they need space. They already have WhatsApp open.

What about the neighbor who does not use WhatsApp, or pays in cash?

They still exist and their account still balances. The administrator records that payment from the console, and that home’s statement ends up just as complete as everyone else’s. Portalis does not force anyone to change how they pay.

Where does the fee money land?

In the condominium’s account, not ours. Payments are processed by Stripe and every condominium has its own connected account. Portalis never holds the condominium’s money and never touches your neighbor’s card.

How long until it is running?

However long it takes you to upload your roster. There is no implementation and nothing to install: register the condominium, upload your Excel file and issue the neighbors’ codes. The three steps are above.

What happens if a charge is wrong?

An adjustment is issued and it stays on the record. A charge that has been paid is never edited or deleted — precisely so the history serves you at the assembly: what was corrected is visible, and so is who corrected it.

If I leave, can I take my data with me?
